Schedule Tool
The Schedule tool allows you to keep track of important events and deadlines in a calendar on your OWL-Space site.
The main page of the Schedule tool shows the calendar for the current week. You can change the view to daily, weekly, monthly, yearly, or as a simple list by choosing an option from the View selection box. The Previous, Today, and Next buttons allow you to navigate through the calendar. The daily and weekly views show the hours from 8am to 5pm. You can see the rest of the day by clicking on the Earlier and Later links immediately above and below the calendar, respectively. Between the calendar and the view options is a link for a Printable Version of the calendar, which will open as a pdf document in a separate browser tab. Below the calendar is a legend of different event symbols.
Clicking on an event or its symbol in the calendar will bring up a detail page for that event, showing date, time, description, frequency, and the type of event. You can revise or delete the event by clicking on the provided buttons, or use the navigation buttons to go to the current day, go to the previous or next event, or return to the calendar view.
The main Schedule tool page has five tabs across the top: Add, Merge, Import, Fields, and Permissions.
The Add tab allows you to add a new event to the calendar. You can enter a Title for the event, a starting date and time, a duration and ending time, and the description of the event in the Message box. You can set how often the event occurs by clicking on the Frequency button. Next you can choose the type of event from the selection box Event Type. The location can be entered in the Event Location text box, and you may also attach files to the event using the Add Attachments button.
Press Save Event when you are satisfied with the details of your event.
The Merge tab allows you to show events from the schedule of another OWL-Space site, which you have access to, on this site. Your members will only be able to see events they already would have had access to, so if your members are not also members of the second site, they will only see events merged in from the second site if those events set to public display.
To merge events from a second site, click on the Merge tab. This will bring up a list of all other sites that you can merge events from, with a check box next to each. Check the box for each site you would like to merge schedules from, then press Save. To undo a merge, go to the Merge tab, uncheck the box of the site for which you want to undo the merge, and press Save.
The Import tab allows you to import events from Microsoft Outlook, Meeting Maker, or a generic calendar in CSV format into your OWL-Space site's Schedule tool. In the Import tab, choose the type of calendar to import and then press Continue. Next use the Browse button to select the calendar file to upload.
The Fields tab allows you to customize your schedule by adding new fields to your event details. Suppose you would like to include information with your events telling members what materials they need to bring to the event. You can either include this information somewhere in the event description, or you can create a separate field to showcase it. To do so, click on the Fields tab. In the text box at the top, type the name of the field you wish to add, and then press Create Field. Your custom field is now added to the list. When you are done adding fields to the list, press the Save Field Changes button. If you want to get rid of any of your custom fields, check the box next to them in the Remove? column, and press the Save Field Changes button. A confirmation message will appear; press the button again to complete removal.
The Permissions tab allows you to set what types of members (student, TA, etc.) can add new events, delete events, revise events, import other calendars, and read events. Press the Save button when you are done adjusting any permissions.
